This page provides information on how personal data is handled within the CR KIDS project, as well as access to all relevant privacy and consent documents.
The project follows GDPR principles and ensures that all data is collected, used, and stored responsibly, especially when working with young athletes.
Consent Forms
The following forms are used to ensure that all participants—especially minors and their parents or legal guardians—are properly informed and have given the necessary permissions for participation and media use.
Parental Consent Form (Media & Participation)
Required for minors appearing in videos, photos, or other project materials. Two options are available: signing the form online or submitting a signed physical copy.

Privacy Policy
Project: Coaching Reimagined – KIDS (CR-KIDS), No101243834, “HaBaWaBa School” Initiative
The CR KIDS – HaBaWaBa School project is committed to protecting the privacy and personal data of all participants, in accordance with the General Data Protection Regulation (GDPR) and applicable European Union legislation.
1. Who We Are
This platform is part of the Erasmus+ Sport project “CR KIDS (Coaching Reimagined – Kids) / HaBaWaBa School”, funded by the European Union under the Erasmus+ Programme.
The project is coordinated by Anemos Nautical and Cultural Club (Greece) and implemented in collaboration with the following partners:
- Waterpolo Development (WPD) – Italy
- Club Aquatico Pescara (CAP) – Italy
- Technical University of Crete (TUC) – Greece
The project focuses on the development of a youth water polo curriculum (ages 7–12), the creation of educational content and webinars, the implementation of activities through the HaBaWaBa International Festival, and the development of a digital platform for coaching, learning, and participation.

2. What Data We Collect
We collect only the data necessary for the implementation of the project, including:
- Name of participant, coach, or team representative
- Team or organization name
- Activity participation data (e.g. challenge results, scores, submissions)
- Media content (e.g. photos or videos), where applicable
We do not intend to collect sensitive personal data, such as health-related information.
3. Purpose of Data Processing
Personal data is collected and used only for purposes directly related to the project, including:
- Participation in project activities (webinars, challenges, courses)
- Tracking progress and engagement
- Communication related to the project
- Dissemination through the website, digital platform, social media, reports, and educational materials
- Reporting, monitoring, and evaluation required by the Erasmus+ Programme
4. Legal Basis
Data processing is based on:
- The consent of the participant or user
- The legitimate interest of implementing and managing the project
For participants under 18 years of age, participation and data submission must be carried out under the supervision of a parent or legal guardian. Coaches may act as facilitators but are responsible for ensuring that appropriate parental or guardian consent has been obtained.
5. User-Generated Content (Videos and Media Uploads)
Participants may upload videos or images as part of project activities, such as challenges, training exercises, or educational tasks.
By uploading content to the platform, users confirm that:
- They have the right to upload and share the content
- All individuals appearing in the content have given their consent
- For minors, consent has been obtained from a parent or legal guardian
Users submitting content on behalf of a team or group (e.g. coaches) are responsible for ensuring that all necessary permissions have been obtained from participants and/or their parents or legal guardians prior to submission.
Uploaded content may be used for educational, dissemination, and project-related purposes, including publication on the platform, website, social media channels, and project communication materials.
Users are encouraged to avoid including unnecessary personal or identifiable information in uploaded content.
6. Data Sharing
Personal data may be accessed by:
- Project partners involved in the implementation of the project
- The European Commission or authorised bodies for monitoring, reporting, and audit purposes
Personal data will not be shared with third parties for commercial purposes.
7. Data Storage and Retention
All data is stored securely and retained only for as long as necessary for project purposes and audit requirements.
Project-related data may be retained for up to 3–5 years after project completion, in accordance with Erasmus+ documentation and audit obligations.
8. Your Rights
Participants and users have the right to:
- Request access to their personal data
- Request correction of inaccurate data
- Request deletion of their data, where applicable
- Withdraw consent at any time
If consent is withdrawn, the project team will stop processing the relevant personal data for future activities.
Where applicable, identifiable personal data and media content will be removed from public platforms (such as the website or social media channels).
However, certain content may be retained where:
- The content is not identifiable, or
- The content forms part of the core educational materials or official project outputs, or
- Retention is required to comply with legal obligations, including Erasmus+ reporting and audit requirements.

9. Media Use
Photos and videos may be used for educational and dissemination purposes, including publication on the project website, digital platform, and communication channels such as YouTube and social media, only where appropriate consent has been obtained.
For minors, parental or guardian consent is required before identifiable media is shared publicly.
Where possible, efforts are made to use non-identifiable or group-based footage, especially when involving minors.
Participants or their parents/guardians may request the removal of specific media content at any time by contacting the project team.
